4 Purpose of the processing of personal data

The system is used in enrollment or application for JAMK open studies, continuing studies, ordered training courses and separate applications.

5 Data contents of the register

Information is gathered from the person to be registered in the enrollment/application stage. The following data are saved into the register:

  • Name
  • ID number (is required of persons who have a Finnish personal identification number)
  • Date of birth (is required of persons who do not have a Finnish personal identification number)
  • Address
  • Home municipality
  • e-mail address
  • Telephone number

Other compulsory data can be collected in various forms, for example:

  • Gender
  • Native language
  • The highest degree completed
  • Main activity
  • Employer information
  • Age

And, if needed,

  • Occupation/title
  • Employer
  • Country (if not Finland)
  • Home country
  • Significant vocational continuing education
  • Significant work experience

6 Legal bases for processing personal data

A task carried out in the public interest or the exercise of public authority.

7 Regular information sources

Information is gathered from the person to be registered in the enrollment/application stage.

8 Regular information disclose and information transfer outside the EU or the European Economic Area

Information is not regularly rendered to third parties. Data is not transmitted outside the EU or EEA, or international organizations.

9 Register protection principles

The register does not contain manually collected material.

Access to the system is limited at JAMK to specific persons and is determined by their working duties. The use of the system requires a user ID and a password.

All servers are located in a locked location and access is monitored. Servers are only allowed for administrators.

10 Retention period or criteria for determining

To enable studying the personal information is transferred to the Study information system. Registers are stored in accordance with the JAMK information management plan, and the data has specified retention periods. Data in the national higher education achievement register is stored permanently. JAMK stores any information on documents pertaining to theses electronically and permanently (Decision of the National Archives of Finland AL/20757/

The personal information of participated and persons in queue is deleted two years after the education has finished. The register is maintained by the main content user of the system at JAMK Educational Development Services.

11 Automatic decision-making/profiling

Automated profiling related to personal data is not conducted.

12 Rights of the Data Subject

User information is corrected according to notifications.
