Instructions for the presenters at the NordYrk 2026 conference.
Paper presentation sessions are chaired by the first presenter, symposium and workshop sessions by the session organisers, and poster sessions by a designated chair. The chair is responsible for keeping time and ensuring that the session proceeds according to schedule.
Advice for paper presentation session chairs
The paper presentation sessions are chaired by the first presenter. If you are the first presenter you will be the chair for that session, and it's important that you review the conference programme to confirm the time and place of your session and arrive at least 5 - 10 minutes before the scheduled start time. In the following you will find some more advice for the smooth running of the session, first in short and then in more detail.
Chairing a session in short
The session chair is responsible for opening and closing the session, introducing speakers, keeping strict time, and facilitating audience discussion. Please arrive early (5 - 10min before), ensure presentations run according to schedule, and support a respectful and engaging discussion. The session host will be on hand prior to the session, if any assistance is needed. Do not hesitate to ask for help if needed. If some urgent comes the INFO desk on the ground floor will assist you.
Paper presentation sessions last 1.5 hours. Each session includes three presentations, and each presenter has a total of 25 minutes, consisting of a 15 - 20 -minute presentation followed by 5 - 10 minutes for discussion.
Chairing a session step by step
In the following you can find some more detailed tips to ensure the smooth running of your session:
Before the session
- Familiarise yourself with the session schedule, format, speaker names, and presentation titles.
- Prepare 1 - 2 questions per presentation (in case discussion is limited).
- Arrive at the room 5 - 10 minutes early to: check the technical setup, loading up of presentations; meet speakers and confirm the order of presentations; clarify timing and Q&A format to presenters
During the session
- Open the session: At the beginning of the session, the chair is expected to open the session, state the session title and duration
- Introduce speakers shortly.
- Manage time:
- Ensure presenters start and end on time.
- Give speakers clear signals (e.g., 5 min / 1 min remaining).
- Politely intervene if a speaker exceeds their time limit.
- Moderate discussion:
- Facilitate questions from the audience and ensure that discussion remains respectful, relevant and inclusive.
- Encourage participation from multiple attendees and ask prepared questions if needed to stimulate discussion. Intervene diplomatically if discussion becomes too long or off-topic.
- Manage challenges:
- Handle minor technical or organizational issues and seek help and assistance from session hosts or conference organisers if needed.
- Close the session:
- End the session on time to respect the overall programme.
- Thank speakers and participants.
Paper Presentations
- Paper presentation sessions last 1.5 hours and each session includes three presentations.
- Paper presentations provide delegates with the opportunity to present their research and findings in depth, including data and results.
- Each presenter has a total of 25 minutes, consisting of a 15–20 -minute presentation followed by 5–10 minutes for discussion.
- Paper presentation sessions are chaired by the first presenter.
Poster Presentations
- Posters will be displayed throughout the conference in the coffee break areas.
- Presenters should bring their poster in A0 size and, with assistance from the conference organisers, place it on the designated poster boards at the venue. Posters will be attached using magnets or pushpins, which will be provided.
- A dedicated poster session lasts 1.5 hours and provides authors with the opportunity to present their work both visually and verbally. Each presenter will have approximately 5 minutes to briefly introduce their research or project in turns. Afterwards, participants may explore the posters in more detail and engage in discussions with the presenters.
- Poster sessions are chaired by a designated chair appointed by the conference organisers.
Workshops
- Workshop sessions are interactive 1.5-hour hands-on sessions. They provide organisers with the flexibility to structure the session in a way they find most effective. Workshops are intended to be highly interactive and to offer collaborative learning experiences, practical skills, and in-depth discussions on a specific theme.
- Workshop organisers may bring their own materials to support the session. In addition, the conference organisers will provide flipcharts, paper, and markers.
- Workshops are chaired by the workshop organiser.
